How to Choose an Electronic Care Management System

Electronic care management systems help aged care providers record, organise and review care information digitally. They can support everyday work such as maintaining care plans, completing assessments, recording progress notes and tracking follow-up actions.

Choosing a system takes more than comparing feature lists. Providers also need to consider how well it fits their workflows, what support the vendor provides and what happens to their information and agreement over time. This guide sets out practical questions to help you compare your options.

What Should an Electronic Care Management System Support

Start with the work your organisation needs the system to support. These areas can help you build a shortlist of requirements before comparing vendors.

Care Plans & Assessments

Can staff document residents’ needs and goals, complete assessments and review care plans as needs change?

Progress Notes & Observations

Can staff record day-to-day notes and observations in a clear, accessible resident record?

Events & Follow-Ups

Can staff document care-related events and see what actions need to happen afterwards?

Incident Management

Can your team record incidents, document responses and review outcomes?

Reporting

Can you create reports that help review care activity, identify patterns and support planning?

Governance & Oversight

Can managers use dashboards to monitor key indicators and see where closer review may be needed?

Test the System Against Your Everyday Work

A feature list can tell you what a system includes, but a demonstration shows how those features work together. Ask the vendor to walk through a realistic scenario using demonstration data, from the initial record through to follow-up and review.

For example, ask them to show what happens when a resident’s needs change: how staff update the relevant information, record actions, follow up and make the change visible to the appropriate manager.

As you watch, consider:

1. Does the workflow make sense for the staff who will use it?

2. Is information easy to find and update?

3. Are follow-up actions and responsibilities clear?

4. Can a manager see the relevant status or activity?

5. Which parts are available now, and which require configuration or extra work?

Use the same scenario with each vendor so you can compare how well each system supports your organisation’s needs.

Look Beyond the Software: Assess the Vendor

Choosing a system also means entering a relationship with the organisation that supplies it. Ask each vendor the same questions and get important terms and commitments in writing.

1. Contract Terms & Flexibility

Understand the initial contract term, renewal conditions and notice period. Check how price changes are handled and what options you have if your organisation’s needs, ownership or circumstances change.

2. Total Cost

Get a clear breakdown of the subscription and any one-off or ongoing costs. Include implementation, data migration, configuration, integrations, extra licences, training, support and upgrades, and note what could incur additional charges

3. Data Access & Exit

Confirm you can export resident records, documents, attachments and audit history in a usable format if you leave. Understand the timeframe and any fees, how long you can access the system during the transition, and what happens to your information afterwards.

4. Security & Information Handling

Check where your information is hosted, which third parties may process it and how access is controlled. Review the vendor’s available security evidence, including what services and entities any certification covers.

5. Support & Supplier Continuity

Establish what support channels, hours and response times are included, along with the training available to staff. Understand how service continuity and access to your information would be managed if the vendor changes ownership or stops operating.
